1. Introduction

COMSATS University Islamabad (CUI) Virtual Campus ("we", "us", "our") operates the LEARN platform to deliver open distance learning, hybrid courses, and stackable micro-credentials. This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you use our Open edX-based platform. By registering for a micro-credential course, you agree to the terms of this Privacy Policy.

2. Information We Collect

We collect the following categories of data:

  • Account Data: Full name, Identity information/CNIC (for Pakistani learners), Date of Birth, Email address, Mailing address, Phone number.
  • Academic Data: Enrollment records, course progress, quiz/exam submissions, forum posts, grades, issued micro-credentials (digital badges/certificates).
  • Technical Data: IP address, browser type, device identifiers, LMS log files, keystroke patterns (for proctored exams, if enabled).
  • Payment Data: Billing information (processed via third-party payment gateway; we do not store full credit card numbers).
  • Communication Data: Support tickets, emails to instructors, and discussion forum content.

3. Legal Basis for Processing

We process your data based on:

  • Contractual Necessity: To provide the micro-credential courses you enroll in.
  • Legal Obligation: To comply with CUI regulations, HEC Pakistan directives, and court orders.
  • Consent: For optional communications and marketing.
  • Legitimate Interests: To improve the platform and prevent fraud.

4. How We Use Your Information

  • Create and manage your learner account.
  • Issue stackable micro-credentials and micro-degrees (verifiable via CUI QR code system).
  • Process payments / course fees
  • Monitor academic integrity (e.g., proctoring, plagiarism checks).
  • Communicate important updates (course changes, deadlines, policy updates).
  • Improve platform performance and personalize learning recommendations.

5. Data Sharing and Disclosure

We do not sell your personal data. We share data only in the following circumstances:

  • Within CUI: With instructors, examiners, and the Virtual Campus administration for academic evaluation.
  • Accreditation Bodies: HEC Pakistan or relevant professional councils for verification of credentials.
  • Legal Compliance: If required by law or to protect the rights and safety of CUI, its students, or the public.
  • Successors: In the event of a merger or restructuring of the Virtual Campus.

6. Data Security

We implement SSL/TLS encryption, role-based access controls, regular vulnerability scanning, and secure backups. However, no method of transmission over the Internet is 100% secure. We rely on the "as is" basis referenced in our main website disclaimer.

7. Data Retention

We retain your personal data and learning records as per academic governing body/HEC rules.

8. Your Rights (Access, Correction, Deletion)

You may have the right to access, correct, request deletion of your account, withdraw consent, or port your data. Contact learn@vcomsats.edu.pk. We will respond within 30 days.

9. International Data Transfers

Your data may be transferred to and processed in countries with different data protection laws. By using LEARN, you consent to such transfers. We ensure appropriate safeguards where required.

10. Google Translate Disclaimer

If you use Google Translate features on our platform, the Language Translation Disclaimer from our main website (vcomsats.edu.pk) applies: The English version governs any translation; CUI Virtual Campus is not liable for inaccuracies introduced by machine translation.

11. Children's Privacy

Our micro-credential courses are intended for learners aged 16 and above (or 18 for certificate-bearing programs). We do not knowingly collect data from children under 13 without parental consent.

12. Changes to This Privacy Policy

Material changes will be communicated via email or a prominent notice on the LEARN dashboard at least 30 days in advance. Continued use constitutes acceptance.
